Privacy Policy

Last updated

This policy explains how Santre (“Santre”, “we”, “us”) handles personal information collected through this website. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and any provincial privacy law that applies. It covers this website only. Personal information we handle while delivering services to a client is governed by that client’s agreement with us.

Who is responsible

Santre is accountable for the personal information collected on this site. Questions, requests and complaints go to our privacy contact through the contact form or by phone at (888) 652-3358.

What we collect

When you send us a message

The contact form asks for your name, work email address and message, and optionally a phone number. When you submit it, we also receive your IP address and the time of submission.

When you browse

Like any website, our hosting and network providers process technical information such as your IP address, browser type and the pages requested, so the site can be delivered and protected from abuse. We do not use analytics, advertising or tracking cookies, and we do not build visitor profiles. The Santre Stack pages remember whether you chose a light or dark theme in your browser’s local storage; that setting never leaves your device.

When you call us

If you call us at (888) 652-3358, we keep the details you give us so we can respond.

How we use it

  • To reply to your enquiry and, if you ask, to prepare an assessment or proposal.
  • To keep a record of our correspondence with you.
  • To protect the contact form from spam and abuse: your IP address is used to limit how often messages can be sent.
  • To keep the website secure and working.

We do not sell personal information and we do not use your enquiry for marketing unless you ask us to keep in touch. You can withdraw that consent at any time.

Service providers we rely on

We use a small number of providers to run this site. They process information on our behalf:

  • Cloudflare provides our domain’s network and security services and runs Turnstile, the check on the contact form that tells people from automated spam. Turnstile processes technical signals from your browser to make that decision.
  • Our website host serves the pages and processes standard server logs.
  • Our own workflow system, operated by Santre, receives form submissions, stores them and emails them to our team through our business email provider.
  • CARTO supplies the map tiles for the small map in our site footer and the map on the contact page. Loading the map sends your IP address and browser details to CARTO, as with any image request.

Some of these providers may store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We choose providers that protect information to a standard comparable to ours.

How long we keep it

We keep enquiries for as long as we need them to respond and to maintain our business records, then delete them. Rate-limiting records tied to an IP address are short-lived.

How we protect it

The site is served only over HTTPS. The contact form sends your message to our server, which relays it to our workflow system; your browser never talks to that system directly. Access to stored enquiries is limited to Santre staff who need it to respond.

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to our using it. Use the contact form or call will reply within 30 days, as PIPEDA requires. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

If our practices change, we will update this page and the date at the top.
